Privacy Policy

FortiVix Technologies LLC (“FortiVix,” “we,” “us,” or “our”) operates DispatchAI, an AI-powered operating system for licensed security guards and the companies that employ them. This Privacy Policy explains what information we collect when you use DispatchAI, why we collect it, how we use and share it, and the rights you have over your information under United States privacy law.
DispatchAI handles sensitive data — including body camera footage, GPS location, voice recordings, and security guard license numbers. We take that responsibility seriously. This policy is written in plain language because you should actually be able to understand it.

Who this policy applies to
This policy applies to:
- →Licensed security guards who download and use the DispatchAI mobile app
- →Managers, supervisors, and owners of security companies (PPOs) who use DispatchAI’s company dashboard
- →Visitors to guardcopilot.com
DispatchAI is not intended for anyone under 18 years old. We do not knowingly collect information from minors. If you believe a minor has created an account, email rajhni@fortivix.com and we will delete the account and associated data.
Information we collect
We collect information in three ways: information you give us directly, information we collect automatically when you use the app, and information we receive from third parties.
Information you give us directly:
- →Name, preferred name, email address, phone number
- →Security guard license number and issuing state
- →Security company affiliation (if applicable)
- →Payment information (processed by our payment processor — we do not store full card numbers)
- →Photos of your physical license card (used only for verification in states without a public license database)
- →Messages you send to DispatchAI or post to the Guard Network
Information we collect automatically:
- →GPS location while you are on shift (used for dispatch, map features, and compliance with your state’s laws)
- →Device information (model, operating system, app version, crash logs)
- →Usage data (what features you use, how long you use them)
- →Body camera video and audio recordings that you initiate
- →Voice recordings from the LISTEN feature when you activate it
- →Photos captured through the CAMERA feature
Information from third parties:
- →Public state licensing databases (to verify your license is valid)
- →Your employer, if they invite you to join their company plan
- →Our payment processor (transaction status, not card details)
Sensitive personal information
Under the California Consumer Privacy Act (as amended by the CPRA) and similar state laws, certain categories of the information above are classified as sensitive personal information:
- →Precise geolocation
- →Audio recordings (body cam, LISTEN)
- →Voice recordings that may contain biometric identifiers
- →Government-issued identification numbers (your license number)
We use sensitive personal information only for the purposes you would reasonably expect — running the dispatcher service, verifying your license, producing incident reports, and meeting legal obligations. We do not use sensitive personal information for targeted advertising, and we do not sell it.
California residents have the right to limit our use and disclosure of sensitive personal information. See “Your rights” below.
Biometric data
Voice recordings captured through the LISTEN feature and audio captured by the body camera may contain voiceprint data, which some state laws (including the Illinois Biometric Information Privacy Act) treat as biometric identifiers.
We do not use these recordings to build or train facial recognition, voice recognition, or any biometric identification system. We do not sell, lease, or trade biometric data. We retain voice data only as long as needed to generate your incident reports and satisfy applicable record-keeping laws, and we destroy it within three years of your last interaction with DispatchAI or sooner.
If you are located in Illinois, Texas, Washington, Colorado, or Oregon, you have additional rights under your state’s biometric privacy laws. Contact rajhni@fortivix.com to exercise those rights.
How we use your information
We use your information to:
- →Run the dispatcher service — respond to your messages, score threats, generate incident reports, recommend protocols
- →Verify that you hold a valid, current security guard license
- →Load your state’s compliance rules, use-of-force laws, and reporting requirements into the AI brain when you go on shift
- →Share your location, status, and posts with other verified guards on the Guard Network (only to the extent you enable)
- →Share your status, location, and body cam feed with your manager if you are on a company plan and have opted in
- →Process your subscription payment and send billing-related emails
- →Send service notifications (incidents, wellness check-ins, escalations)
- →Detect and prevent fraud, abuse, and violations of our Terms
- →Comply with subpoenas, court orders, and other legal obligations
- →Improve DispatchAI based on aggregate, de-identified usage patterns
We do not use your information for targeted advertising. We do not sell your information. We do not share your information with data brokers.
Automated decision-making
DispatchAI uses artificial intelligence to assign threat scores to incidents, classify incidents as ROUTINE, ELEVATED, or CRITICAL, and recommend whether to escalate to 911.
These are decision-support tools, not final decisions. A human — you, the guard on scene — remains in the loop at every step. The 3-minute escalation countdown can always be canceled by you before 911 is contacted. DispatchAI will never contact 911 without your affirmative action.
You have the right to know how our automated systems work, to request human review of any automated output that significantly affects you, and to opt out of certain automated processing. To exercise these rights, email rajhni@fortivix.com.
How we share your information
We share your information only in these specific cases:
- →With other verified guards — your posts, status, and location on the Guard Network are visible to other verified guards in your area, by design. You control what you post.
- →With your manager or company — if you are on a company plan, your shift status, GPS location during shifts, body cam feed (when you go live for your company), and incident reports are visible to your designated manager.
- →With our service providers — hosting (Supabase), live streaming (Agora), voice synthesis (ElevenLabs), voice transcription (OpenAI), AI processing (Anthropic), SMS (Twilio), payment processing (Stripe). Each of these providers is bound by a written agreement that prohibits them from using your data for their own purposes.
- →With law enforcement — when legally compelled by valid subpoena, court order, or warrant, or when we believe in good faith that disclosure is necessary to prevent imminent physical harm.
- →In a business transaction — if FortiVix is acquired, merged, or sells its assets, your information may transfer to the acquiring entity. We will notify you before any such transfer.
We will never share the content of the Guard Network feed with any company or manager. The network is guard-only, permanently. Managers cannot see Network Live streams under any circumstances.
How long we keep your information
- →Account information: as long as your account is active, plus 12 months after deletion for backup and legal purposes.
- →Incident reports: 7 years, or longer if required by your state’s security industry regulations.
- →Body camera recordings: 90 days by default, longer if flagged as part of an active incident.
- →Voice recordings from LISTEN: destroyed after transcription and incident report generation, or within 30 days, whichever is sooner.
- →GPS location history: 90 days.
- →Messages to DispatchAI: 12 months for quality and compliance review.
- →Payment records: 7 years (IRS requirement).
When the retention period ends, we permanently delete the data or de-identify it so it can no longer be linked to you.
Your rights
Regardless of where you live in the United States, you have the right to:
- →Know what information we have collected about you
- →Access a copy of that information in a portable format
- →Correct inaccurate information
- →Delete your information (subject to legal retention requirements)
- →Opt out of the sale or sharing of your information (we do not sell or share, but the right exists)
- →Limit our use of sensitive personal information
- →Not be discriminated against for exercising any of these rights
California residents have additional rights under the CCPA/CPRA, including the right to request human review of automated decisions and the right to know the logic behind those decisions.
Residents of Virginia, Colorado, Connecticut, Utah, Texas, Tennessee, Montana, Iowa, Delaware, New Jersey, New Hampshire, Kentucky, Indiana, Maryland, Minnesota, Rhode Island, Nebraska, and Oregon have similar rights under their respective state laws.
To exercise any right, email rajhni@fortivix.com with your name, the email on your account, and a description of your request. We will respond within 45 days. In most cases we will respond within 10 business days.
We do not charge a fee to exercise these rights. We do not require you to create a new account or waive any right to use the service.
Do Not Sell or Share
We do not sell or share your personal information for cross-context behavioral advertising. You do not need to take any action to opt out because there is nothing to opt out of. This policy will change only if our business model changes, in which case we will notify you directly before any sale or sharing begins.
Data security
We encrypt data in transit (TLS 1.2 or higher) and at rest (AES-256). Our database enforces row-level security, meaning a guard can never see another guard’s private data, and a manager can never see guards outside their own company. API keys are stored server-side only. All authentication uses JWT tokens with short expiration windows.
We audit our security controls regularly. If a breach affects your information, we will notify you in accordance with your state’s breach notification law.
No security system is perfect. You help by using a strong password, not sharing your account, and notifying us immediately at rajhni@fortivix.com if you suspect unauthorized access.
International users
DispatchAI is operated from the United States and intended for use in the United States. If you access the service from outside the U.S., you consent to the transfer and processing of your information in the U.S., which may have data protection laws different from your country.
Changes to this policy
We may update this policy from time to time. When we make material changes, we will notify you by email and through a notice in the app at least 30 days before the changes take effect. The “last updated” date at the top of this page always reflects the current version.
